Superintendent's Monthly Reports

Series contains reports given by the Edmonton Public Schools Superintendent to the Board of Trustees pertaining to the administration of Edmonton Public Schools. These reports present information, enquiries and recommendations. This series also contains reports and information presented to the Superintendent by committees, school officials and outside agencies. The subject matter in the reports varies, but most information relates to expenditures and budget. The Superintendents responsible for the reports are James McCaig (1906-1913), W.L. Richardson (Acting Nov-Dec 1913), W.G. Carpenter (1914-1923), George A. McKee (1924-1940) and Ross S. Sheppard (1940-1955).

Series completed by principals. Cards organized chronologically and alphabetically by school. Each card records Month, Year, School, Teacher, Grade, No. of Teaching Days, Aggregate Days' Attendance, Percentage and Lates. Pre 1962, on verso Substitute, Day Taught, For Whom, Cause, Days Absent, No. of Fire Drills in Month and Avg Time and Principal. Post Sep 1962, on verso Avg Enrolment, Avg No. of Pupils per Class, No. of Register Room Teachers, No. of Other Full-Time Teachers, No. of Part-Time Teachers, No. of Fire Drills in Month, Avg Time in Seconds and Principal.

Each card in series records Month, Year, Teacher, No. of Teaching Days, Aggregate Days Attendance, No. of Pupils Enrolled, Average Attendance, Percentage and Lates. Cards in series are arranged chronologically and, after May 1950, alphabetically by school. Schools named: Beacon Heights, Beverly Heights, Central, Lawton Junior High, R. J. Scott and Abbott.

Series contains documents generated by Department of Education Inspectors. Pre-1905, Inspectors are from the Government of the North-West Territories and post-1905 from the Alberta Provincial Government. Documents record the Inspectors' evaluation of schools, classrooms, school grounds, equipment, pupils and teachers within Edmonton School District No. 7.

Administration Files of Strathcona School District No. 216

Series reflects administrative activities of Strathcona School District No. 216. Although chiefly financial and staffing issues, opening of new schools, amalgamation with Edmonton School District No. 7, Inspector's Reports, correspondence with University of Alberta, Association of School Trustees of Alberta and Department of Education is also included. Of note is a letter from Lieutenant Governor Bulyea regarding the opening of Strathcona Collegiate Institute. Compiled by the Secretary-Treasurer, files are arranged chronologically. Correspondence of a related subject often glued together. The top document reflects the chronological date within the file but often much earlier documents are attached.

Memorandum of Transmittal

Series consists of documents from the Superintendent of Schools for the Edmonton Public School Board Trustees. The memoranda provided information about schools, students, staff, buildings, departments, curriculum changes, grievances, press releases and meetings. Appendices are included, but not all are on file.

Policy Development

Series pertains to policy development within Edmonton Public Schools. The series is arranged into three sub-series: 84.51.3 Policy Development : Survey of Principals, 84.51.4-7 Policy Development : Advisory Committee which contains agenda, minutes, memoranda and the policies and regulations the committee has agreed to, 84.51.8 Policy Development : Project Booklets and Draft Policies which consists of Advisory Committee notes and a draft policy manual.

Reports of the Department of Education on High Schools within Edmonton School District No. 7

Series consists of reports produced by teams of school inspectors visiting Edmonton Public High Schools. Inspectors comment on and critique the school’s philosophies, administration, programs, counseling services, library services, subject areas, and the physical plant. The report of McNally School only addresses the Biology Department and the Library Services.

Series consists of files created by A. George Bayly, which include correspondence, memoranda, notices and general information to and from Bayly. Most material relates to Elementary curriculum, curriculum development, testing and reading. Bayly’s titles for this period were as follows: Elementary Supervisor or Supervisor, Elementary Education (1946-47, 1947-48), Director of Elementary Education (1948-49 to Oct 1955), and Assistant Superintendent, Elementary Education (beginning 01 Oct 1955).

Edmonton Public School Board Teachers’ Contract and Salary Record

Series consists of index cards listing yearly contract and salary records for teachers. Each card includes a teacher’s name, school, date of contract agreement, salary, type of teacher’s certificate, and first day of service. On verso is a record of work by month and day and of monthly payments. Data handwritten. Series is incomplete. It includes surnames from Ainsley to Scott.

Administration Files

Series contains files created by the Superintendent's office documenting EPS administration. The files include correspondence, memoranda, copies of board minutes, blueprints, plans, and other material reflecting daily operations. The series covers a number of subjects including matters of curriculum, schools, associations, contract negotiations, planning, government departments, enrolments, teachers, the hiring of personnel, and school construction. Integrity of original filing system maintained.

Item consists of correspondence, student assessments and Supervisor’s Reports written and maintained by W. P. Wagner, Guidance Counsellor. This item illustrates the tasks performed by W. P. Wagner and his department.

Directory of Pupils

Series consists of a single sheet for every class, in every school, per school year. Early years list boys and girls on separate sheets. High Schools are missing from 1964-65. Forms record school, date, teacher, students, each student’s address, birth date, grade, religion and residency status. Information was used by the finance/revenue area to calculate the annual education grant submission to Alberta Education. The lists then served as a directory of students, for the district, for the school year.

Series consists of information about the Advanced Placement (AP) Program gathered by Trustee Shirley E. Forbes. General information, newsletters and examinations are included and relate to the AP subjects of Art, Biology, Chemistry, Classics, English, French, History, Mathematics and Physics. The Advanced Placement program was first offered in Edmonton Public Schools in 1991.

Series consists of Annual Reports from Alberta Education. Prior to 1949-50, the reports cover the calendar year. Beginning in 1949-50, the reports cover the school year. Each Annual Report includes reports from divisions within Alberta Education as well as statistics. The 1907 Annual Report includes appendices which address regulations of the Department of Education, programs of study, and Annual Examinations. Dates are not inclusive, many years missing.

Edmonton Public Schools Telephone Directory

Series consists of the Telephone Directories for Edmonton Public Schools. There are two copies, within this series, of the directories for 1981-82, 1982-83, 1983-84, and 1984-85. The directories for 1986-87 and 1991-92 were added to this series after it was accessioned.

The Edmonton Public Schools

Series consists of bulletins modeled after the publication, The Kansas City Schools, that were first issued in Jan 1949. The EPSB Annual Report 1949 refers to the new publication as a bulletin. This series begins with the second issue in Mar 1949. With the exception of 1949 and 1955, two bulletins were printed each school year, one in the fall and one in the winter. Each issue included a message from the Superintendent and information about the school district. The final bulletin was issued in Feb 1961 after which it was removed from the budget at the Board’s request.

School Based Budget : Pilot Project Files

These files were created by Alan E. Parry, System Planner, whose position reported to the Superintendent & Secretary Treasurer at the time of the pilot project. Series consists of files pertaining to the development of budget decentralizing known as School Based Budget. The files and responsibility for School Based Budget moved with Parry when he transferred to Associate Superintendent Planning & Development Services in 1979-80. By 1980-81 School Based Budget was implemented district-wide.

Series consists of agenda packages for the Superintendent and Associate Superintendents’ regular committee meetings. Packages contain an agenda with attachments that include reports and minutes from previous meetings. This committee is also known as SAS.

Series consists of agendas and attachments for the Superintendent’s Advisory Council Meetings. Attachments include reports and minutes from previous meetings. The Superintendent’s Advisory Council is also known as SAC. The series is missing agendas from 18 Feb 1971 to 09 Mar 1972.

Curriculum Division Analysis

Series consists of an analysis of the Curriculum Division within Edmonton Public Schools and the documents which support this analysis. The Curricular Division contained three departments: the Curricular Services Department, the Pupil Services Department, and the Research and Evaluation Department.
